Summary of Data Protection Policy for Online Courses and Activities

The Max Planck Foundation for International Peace and the Rule of Law (MPFPR) has a comprehensive data protection policy. This policy may be accessed in the footer of the LEARN Moodle site. Participants are invited to read and engage fully with this policy. The key components of this policy for participants in the following online course or activity may be summarised as follows.

1.    In terms of the European General Data Protection Regulation, the MPFPR performs the role of a “data processor” when conducting online workshops. This is because it gathers and stores personal information, including the names, email addresses and sometimes professional designations, of participants. Data processing is conducted by the MPFPR in order to facilitate the functioning of the online platform and communication between participants and research fellows.

2.    As a “data processor”, the MPFPR is legally mandated to protect any information that it collects from participants.

3.    Moreover, it is required to request and receive explicit consent from all participants to gather and store this personal information. As such, we ask that all participants determine whether they consent to the gathering of their personal information.

4.    Data that is gathered about participants is stored on the MPFPR’s secure servers. Personal information will not be shared outside the Foundation, but may be disclosed to MPFPR administrative divisions for the purposes of comprehensive financial reporting to our donors. The actual information will not share the data with the donors themselves.

5.    The MPFPR undertakes to destroy all records of personal information within 30 days of the gathering of this information. This destruction will take place in a manner that ensures that personal data cannot be reaggregated.

6.    Where participants generate content on the online platform, through participating in quizzes, forums and assignments, this will, predominantly, be associated with the participant’s names or email addresses. However, when reporting on the outcomes and discussion of the online course, to donors or the public, the MPFPR undertakes to disaggregate the content to ensure the anonymity of participants.
